No matter what you do or how hard you try, there is always going to be someone that you cannot please no matter what you do. When you were an employee, you had no right to say anything and had to just put up with the rants and verbal abuse, or you turned it over to a supervisor or manager. Now that you have your own business, you do have a say so in the clients with whom you work and you do not have to take the verbal abuse or listen to the rants from those who have no valid complaint.

On the other hand, you are in business to make money, so you don’t want to make an enemy of your clients if you can avoid it. That doesn’t mean that you have to listen to the rants and take the abuse, but you want to try to calm the client down and explain that you will listen to him only after he calms down and speaks to you in a professional manner. You cannot, after all, discover what the real issue is unless he is speaking to you in a normal tone of voice.

As much as your intent is to maintain long term clients, if you have one who is especially bothersome and always complaining about nothing, you may want to warn that client that you will not continue to listen to his chronic complaining, and if he isn’t happy with the service you provide, perhaps he should seek another medical billing service. Many times they do it because they feel they have a power over you, but if you let them know that you will be calling the shots, the usually calm down tremendously. Another reason they sometimes do it is because they may have had a bad experience with another billing service, and they are fearful of losing touch with what is going on with their account.
